TEAM Staff Duties

 

Customer Service Coordinator

Manager of assigned client operations including maintaining supplies for company and clients, database maintenance, prospects, instructors, exhibitors, and vendors. Provides event planning and communication skills to ensure success in client and customer relations in executing events.  Handles multiple high-priority projects, maintains records, brochures and program schedules for upcoming events, coordination of speakers and moderator event details including initial planning, creation of brochures and program schedules for events, coordination of speakers and moderator event details. Travels, if needed,to events and assist and/or manages onsite event management with the hotel, speakers and moderators. Processes membership renewals and new membership applications. Prepares new membership prospect packets, outreach for recruiting and retaining current members.  Prepares Reports for clients on status of membership as well as updates the database of all members and/or interested prospects. In addition, manages annual election. Handles conflicting, multiple high-priority projects and others duties as assigned.

 

Administrative Assistant

Assists with office operations including preparing invoices, receipts, maintaining supplies/inventories for the association, updating and maintaining client data. Summarizes the event evaluations and prepares recap.  Updates staff time tracking.

 

Publications Coordinator

Manages and updates company and client websites, newsletters, press releases, public outreach and communications. In addition, coordinates and updates Twitter, Linkedin and other means of outreach methods. Also, updates client event calendars and provides this information to the membrane industry to keep all association events current.  Assists Customer Service Manager with development and design of event brochures. Travels to client events, helps with the coordination of on-site registration, set-up, take down and shipping as needed.

 

Executive Assistant

Assists with the Accounts Payable, Accounts Receivables for the company and clients in QuickBooks and Excel files.  In addition, assists the President with contracts, insurance, personnel and administration of company and client business operations. Handles multiple high-priority projects and oversees company and client policies are adhered to by all staff.

 

President

Serves as Administrative Director and/or Administrator for clients.  Oversees and supervises all staff departments and functions. Prepares quarterly board packets, quarterly financial reports, annual budget, event budgets, coordinates hotel and other contract negotiations.  Holds weekly calls with the client’s President to ensure all association activities and functions are running smoothly.  Travels to client events and provides on-site event management with the hotel, speakers and moderators as well as on-site registration, set-up, take down and shipping.
